    Organization Table Info & Registration

    This registration form is for businesses and organizations who wish to share information. Please do not fill out this form if you are a vendor who would like to sell merchandise.

    The deadline to request a table for organizations is June 17, 2025 at 11:59 pm, or once we reach capacity.
    We will provide your organization with a 12ftx12ft booth space free of charge. You are responsible for bringing your own tables, chairs, tents, and any other display materials. Consider bringing signage, banners, brochures, or any other promotional materials to showcase your organization or business effectively. Please ensure that your booth setup is safe and does not obstruct walkways or neighboring booths. Unfortunately, we do not provide electrical power. If your setup requires electricity, please plan accordingly by bringing battery-powered or other alternative power sources. If you have specific accessibility requirements for your booth setup, please inform us in advance so we can accommodate your needs. You can indicate any such requirements in the box provided below. Additionally, if you require a larger booth space, please specify your needs in the same box. We will do our best to accommodate your requests.

    Please note that our event is family-friendly, and we expect all booth participants to ensure that their content and appearance are appropriate for all ages. We appreciate your cooperation in maintaining the wholesome atmosphere of our community event. Thank you for your understanding and support in making this event enjoyable for everyone.

    You will receive an email approximately 2-3 days in advance of the event containing detailed information about your booth location, along with a park map for reference. Additionally, this information will be posted on our website for easy access. 

    Promotion & Engagement: 
    • We encourage you to actively engage with event attendees and provide information about your organization or business. Please remember, this event is non-partisan, and attendees are not allowed to actively engage in campaigning or soliciting votes for any particular candidate or party. We do welcome voter registration and voter education tables to promote civic engagement and informed participation in the electoral process.
    • Consider offering interactive activities, demonstrations, or giveaways to attract visitors to your booth. Remember, these booths are not allowed to sell anything.
    • Utilize social media and other promotional channels to inform your audience about your participation in the event.

    Raffle & Sponsorship: 
    We invite vendors who would like to contribute to our raffle to bring their items for check-in. Your generous contributions help make this free giveaway a success and add excitement to our event. Thank you for your support!

Sponsorship opportunities offer a range of benefits, including prominent recognition at the event and on our promotional materials. We appreciate your consideration!


    Set-up on Event Day
    Organizations can start setting up as early as 9am. All booths must be set up and ready to go no later than 11:30am. A Jettie Rhodes Day volunteer will be available the morning of the event to help you find your booth space. Please be mindful not to set up your booth in another organization's designated spot. In the event you set up your booth in the wrong spot, we may kindly ask that you relocate your booth. Volunteers will be available throughout the event to assist you with any questions or concerns and will periodically visit your booth to check on you.

    What to Expect during the event: 
    • During the event, we encourage you to enjoy the complimentary food offerings available. However, we kindly request that booth participants refrain from leaving their booths unattended for extended periods to ensure continuous engagement with event attendees.
    • As the event takes place outdoors, please plan accordingly for sun exposure. We recommend bringing sunscreen, hats, and other protective clothing to shield yourself from the sun's rays. Additionally, considering the possibility of inclement weather, it's advisable to bring some form of coverage, such as a canopy or umbrella, to provide shade and protection from rain if needed. This is a rain (no lightening) or shine event.
    • While interacting with attendees, feel free to engage them with activities, demonstrations, or giveaways to enhance their experience at your booth. Remember to maintain a welcoming and approachable demeanor throughout the event.
    • We also encourage you to explore other booths and activities at the event to fully immerse yourself in the community atmosphere and make the most of this opportunity for networking and collaboration.

    Expectations at the end of the event:
    • Please ensure that your booth area is clean and free of debris at the end of the event.
    • Trash receptacles will be provided, but please dispose of any waste generated by your booth appropriately.
